If you're still running your lab on a combination of spreadsheets, handwritten logs and shared folders with names like "FINAL_v3_USE_THIS_ONE," you're not alone. Most labs get by this way for longer than they should. Until they can't.

But here's the thing that rarely gets said out loud: the reason it holds together as long as it does isn't the spreadsheets. It's the people. It's Sarah who knows that the centrifuge on bench three runs 2% fast and adjusts accordingly. It's the unofficial Slack thread where the team flags sample anomalies because nobody ever built a formal process for it. Not all LIMS platforms are created equal. The market has plenty of options, from heavyweight enterprise systems with six-figure price tags to lightweight tools that look good in a demo but fall short in practice. Here's what matters:

Configurability without complexity.

Your lab's workarounds didn't appear randomly. They exist because something in the original process didn't fit. A good LIMS should adapt to how you actually work. The platform should be configurable to your specific processes without requiring a team of developers every time something needs to change. This is exactly the problem that homegrown tools eventually run into.

Intuitive user experience.

The most powerful LIMS is useless if your team quietly routes around it to the old spreadsheet because it's faster. Clean, logical interfaces that lab staff can navigate without weeks of training are non-negotiable.

End-to-end sample tracking.

From the moment a sample arrives to the moment the final report is signed off, every step should be logged, visible and traceable. No gaps, no guesswork and no reliance on someone's memory to fill in what the system doesn't capture. Test article management is a core part of making this work in practice.

Instrument integration.

Manual transcription from instruments remains one of the most common sources of error in labs today and in workaround cultures, it's often where the most creative improvisation happens. Direct connectivity with your equipment reduces this significantly, though integrations vary by instrument type and manufacturer. Getting data to flow automatically often requires close collaboration between your lab, the LIMS provider and the equipment manufacturer. When it's done properly, your team spends less time managing data and more time on the actual science. Test data management capabilities are where this pays off most visibly.

Reporting and compliance tools.

Whether it's a client-facing results report or an internal audit trail, the right LIMS gives you the reporting infrastructure to produce what you need, in the right format, every time. No more manually stitching it together the night before the auditor arrives. Test report generation that is automated and audit-ready removes one of the biggest last-minute panic points labs face.

Scalability.

As your lab grows, your LIMS should grow with it. A well-built platform scales across teams, sites and sample volumes without requiring a migration every few years or the addition of another layer of workarounds to hold it all together.

Why Labs Keep Putting It Off

Even when the signs are obvious, many labs delay making the move. Often the reason is the same thing that created the problem in the first place: institutional memory.

When the system depends on specific people knowing specific things, change feels risky in a particular way. What if the new system doesn't account for the centrifuge quirk? What if the migration loses the context that only exists in those old spreadsheet comments?
